What you'd do
The Supervisory, Medical Support Assistant in Community Care is aligned under the direct supervision of the Deputy Chief, Community Care. The incumbent is responsible for planning and directing administrative and technical duties in support of Community Care referral management and is delegated full administrative supervisory responsibilities.
Major duties
Duties at this level include, but are not limited to: Evaluating the work of subordinate staff. Resolving complex problems to ensure patient services are met. Evaluating new products, equipment, and systems to make recommendations for improved operations. Identifying educational or training needs; making final decisions on hiring selections; evaluating performance, and taking disciplinary action when necessary. Will have administrative and professional responsibility for planning and directing the subordinate lead, supervisor, and MSA's activities. Responsible for extracting and analyzing data to provide reports to senior management in support of tracking measures. Provide technical and administrative supervision to a unit of PSA GS 7, AMSA GS 6 and Medical Support Assistants GS 5 administrative support staff. Interviews candidates for positions in the unit; recommends appointments, promotions, and reassignments to unit positions; identifies and provides for training needs; and finds ways to improve production or increase the quality of work within the area of authority Organizes work, sets priorities, and delegates tasks and responsibilities in order to meet deadlines Communicates skillfully with individuals in order to obtain the desired outcome, while ensuring compliance with established policies and regulations Provides briefings, orientations, staff development, and training. Work Schedule: Monday-Friday, 7:30am-4:00pm.(subject to changed based on the needs of the facility) Relocation Incentive (Sign-on Bonus): Not authorized. Permanent Change of Station (Relocation Assistance): Not authorized. Pay: Competitive salary and regular salary increases. Basic Requirements: United States Citizenship: Non-citizens may only be appointed when it is not possible to recruit qualified citizens in accordance with VA Policy. Experience: None. Education: High school diploma, General Education Development equivalency certificate, or proficiency certificate from a State or territorial-level Board or Department of Education. Foreign Education. To be creditable, education completed outside the U.S. must be deemed at least equivalent to that gained in a conventional U.S. program by a private organization specializing in the interpretation of foreign educational credentials. Documentation Requirements for Proof of High School Completion or higher If using post-high school education to substitute for experience at the GS-04 or GS-05, you must submit a copy of your unofficial or official college transcript with your application. Grade Determinations: In addition to the basic requirements for employment, candidates must meet the following grade-determining criteria for placement at grade levels specified. GS-8: Experience: One year of creditable experience equivalent to the next lower grade. Knowledge, Skills, and Abilities (KSAs). In addition to the experience above, the candidate must demonstrate the following KSAs: (a) Advanced knowledge of managing or leading patient support staff in a clinic. This includes independently utilizing reference sources, decision making, and 13 empowering the team to collaborate and resolve problems within a complex systems environment. (b) Ability to provide the full range of administrative and supervisory duties to at least one subordinate MSA supervisor or team leader in a patient support setting which includes assignment of work, performance evaluations, selection of staff, and recommendation of awards and/or advancements. (c) Ability to collaborate, communicate, and demonstrate customer service and interpersonal skills with internal and external customers to ensure quality/continuity of care and ensure compliance with established policies and regulations. (d) Ability to provide briefings, orientations, staff development, and training in a patient support setting. (e) Ability to manage fiscal matters, forecast resource and equipment needs, and identify budget needs. Preferred Experience: *One year of lead or supervisory experience in an ambulatory care setting. *One year of outpatient clinic appointment scheduling. *Working knowledge of the Microsoft Office Suite, especially the Word and Excel platforms. *Experience prioritizing work to manage workflow and provide exceptional patient care. *Experience coordinating with community care providers to receive required documentation for referrals and consults. *Experience auditing and reconciling documents for payments and claims. *An in-depth knowledge of VA healthcare eligibility and priority groups. Physical Requirements: Physical aspects associated with work required of this assignment are typical for the occupation, see Duties section for essential job duties of the position. May require standing, lifting, carrying, sitting, stooping, bending, puling, and pushing. May be required to wear personal protective equipment and undergo annual TB screening or testing as conditions of employment. Work Environment: Work is performed in an office/clinic setting with minimal risks that requires normal safety precautions; the area is adequately lighted, heated, and ventilated. However, the work environment requires someone with the ability to handle several tasks at once in sometimes stressful situations.
