This position as a Program Support Assistant is aligned under Primary Care at the Chillicothe VA Medical Center. The incumbent works independently in the coordination of administrative tasks to ensure Primary Care Line functions efficiently, is the point of contact with administrative issues and effectively maintains official documents daily basis.

Major duties

Duties and responsibilities include but are not limited to: Responsible for budgetary allocation to the Primary Care Line. Requests including tracking/identification of outdated equipment for replacement. Prepares the annual budget projections for Primary Care Line. Establishes priorities and works independently to assure a smooth and timely flow of paperwork. Prepares official Primary Care Line Service Memorandums, Medical Center Bulletins. Compiles quarterly statistical reports, utilizing multiple data sources. Assists in the planning, review, and reporting of data/statistical results of work with existing Excel spreadsheets. Establishes protocols for incoming data, organizes computerized data sets, and retrieves computerized data. Responsible for reviewing all incoming correspondence, i.e., correspondence, reports, memoranda, screens material for suspense dates prior to distribution, establishes controls, and ensures supervisory follow up. Responsible for the overall administrative process of the environmental exam program. Responsible for requesting related documentation from veterans in sufficient time for the professional staff to review prior to the veteran's scheduled appointment, ensuring that examinations are accurate and timely. Provides administrative, and liaison support the Occupational Health Program which includes all new and existing employees. Receives and processes all incoming materials such as correspondence, reports, memoranda, and other forms of written communication. Manages records related to Drug-Free Workplace for Medical Review Officer in accordance with VHA regulations. Responsible to maintain accurate DSS mapping for all of Primary Care Line. Incumbent will communicate with Managers within Primary Care Line to ensure timely updates to mapping as well as providing initial mapping data for new employees, etc. Work Schedule: Monday through Friday, 8:00 am. to 4:30 pm. Telework: This position may be authorized for telework. Telework eligibility will be discussed during the interview process. Virtual: This is not a virtual position. What you need to qualify

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 07/09/2026. You may qualify based on your experience as described below: Specialized Experience: You must have at least one (1) full year of specialized experience equivalent to the next lower grade level (GS-6) in Federal Service, that has equipped you with the particular knowledge, skills, and abilities to perform successfully the duties of the Program Support Assistant position. Examples of specialized experience would typically include, but are not limited to: providing administrative and technical support for the management of various programs; maintaining databases and utilizing various software programs; assisting in the planning, review, and reporting of data/statistical results of program/project studies; generating a variety of reports; reviewing all incoming correspondence, reports, memoranda, screens material for suspense dates prior to distribution, establishes controls, and ensuring supervisory follow up; scheduling appointments; composing letters, reports, reviews correspondence for accuracy and completeness, prepares public presentation outlines, and develops standard or form letters and replies to inquiries; answering and screening call and faxes; and, greeting in-person appointments and communicates presence to appropriate staff members.
