What you'd do

This position is located in Oklahoma City VAMC, and serves as a principle clerical assistant to the Chief of Medical Administration Service and the Assistant Chief of Medical Administration Service.

Major duties

Duties include but not limited to...... Screens and refers calls and visitors to staff members and supervisors as appropriate. Schedule's appointments and makes commitments for Chief and Assistant Chief. Handles many requests for information and resolves a variety of problems; Typing, edits letters, compose letters and reposts, reviews correspondence for proper attachments, or consolidating/coordinating submittals of information. Advises supervisor of important office issues arising during the supervisor's absence, and brings significant item in reports, files and correspondence to the supervisor's attention. Reads all incoming correspondence, determining proper action. Reviews outgoing correspondence and reports for proper format, accuracy, and all coordination of facts in accordance with established policy. Advises supervisor of important office issues arising during the supervisor's absence, and brings significant item in reports, files and correspondence to the supervisor's attention. Responsible for printing the Gains & Losses report from VistA for Pentad & Medical Center leadership on a daily basis. Makes arrangements for meetings and conferences, prepares travel orders and vouchers. Establishes and maintain files, prepares correspondence, and maintains office supplies. Enters schedules, daily time posting, premium pay requests, and associated leave according to data input on VATAS Timekeeper and maintains time and attendance for commonly used pay plans and types of leave or limited special pay situations. Reviews VATAS reports for appropriate entries, approval, and documentation such as medical certificates for sick leave. What you need to qualify

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 07/08/2026. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks (One Year) at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Specialized Experience- GS-06: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Specialized experience includes; but not limited to: Knowledge of duties, priorities, commitments, and program goals of the office to shift clerical staff in subordinate offices or to respond to fluctuating workloads or to advise other staff on various clerical and administrative procedures. Knowledge of grammar, punctuations, and spelling, as well as organizational requirements on style and format; office filling systems. Work is to assure that administrative and clerical aspects of the office are carried out smoothly and reliably. The work affects the accuracy and reliability of further processes, and the ability of the supervisor and staff to achieve program goals. Handles many requests for information and resolves a variety of problems.
