This Surgery Services Program Support Assistant position is located within the Surgery Services Department and is supervised by the Administrative Officer (AO). The incumbent performs work in support of management and/or program functions in which knowledge of the purpose, operation, methodology, and technique characteristics of specific management/ program function is needed.

Major duties

MAJOR DUTIES AND RESPONSIBILITIES Surgery Service Liaison (Learning, Records, Travel) 15% Incumbent coordinates and schedules training activities, maintains training records, and monitors staff TMS compliance. Responds to inquiries about training eligibility, class availability, and travel/funding requirements. Reviews education requests for eligibility and documentation, advises employees on request status, and follows up to ensure training requirements are met. Works with Employee Education and Travel to process educational/travel reimbursements and enter authorizations and vouchers in Concur. Maintains departmental records and 6-part (CTOP) folders per facility policy and Joint Commission Standards. Serves as Records Liaison, working with the Records Officer to manage service line records, maintaining a file system for retention documents (Circulars, Bulletins, Information Letters, committee meeting minutes), and participating in annual records inventory for OR and Surgery Service. Timekeeper: 25% Incumbent completes all aspects of timekeeping for Surgery Services (five (5) TL groups) according to facility policy and procedure. Enters employee work tours, accurately posts tours of duty, on-call time, annual, and sick leave in Veteran Affairs Time and Attendance System (VATAS) in a timely manner. Tracks part-time physicians and tracks and informs management of employee absenteeism and maintains staff schedules in AcuStaf. Program Support Duties: 60% Data/Analysis Duties: Conducts studies to analyze, evaluate, and provide recommendations on administrative programs or issues. Carries out studies, reviews, and audits of assigned programs to include operating room and surgery clinical access Researches: Analyzes problems, administrative issues, and program concerns, gathering and reviewing information to develop recommendations. Supports program work including data collection, compilation, research, and tracking. Investigates patient complaints and incidents, documents outcomes, and coordinates action with staff. Assists with Congressional inquiries and prepares reports/responses for the Director's signature. ADPAC: The incumbent provides additional ADPAC support for Surgery Services. They are responsible for providing guidance and assistance to clinical staff and request modifications or new account access, documentation keys and menus, T-drive access, and IT hardware requests through the ePAS system. They will also provide PIV sponsorship for the service and request required keys, departmental access, and scrub machine cards/codes through the Lock Shop, Police Department, and Linen Department respectively. The incumbent also assists with troubleshooting computer sign-in issues, updates electronic contact information for employees, and aids in editing signature blocks and person class codes. What you need to qualify

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 07/15/2026. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-06. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Award SF-50's do not show the required information. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-6 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Experience that equipped the applicant with the particular knowledge, skills, and abilities (KSA's) to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled. To be creditable, specialized experience must have been equivalent to at least the next lower grade level. Applicants who have the 1 year of appropriate specialized experience, as indicated in the table, are not required by this standard to have general experience, education above the high school level, or any additional specialized experience to meet the minimum qualification requirements. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Applicants must be eligible under the VA Interchange Agreement, having served continuously for at least one year in the other merit system under this interchange agreement. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Physical Requirements: The work is mainly sedentary. There is some walking, bending, lifting and carrying of light objects. Work Environment: The work is performed in a normal office setting.
