Management Assistant
What you'd do
You will serve as a Management Assistant, providing clerical and technical work, including a variety of analytical support and data entry tasks. You will assist in maintaining high quality data standards for the creation and management of data contained in the Maintenance Management System database, using knowledge of data collection methods and software to tabulate, prepare, analyze, and manage data pertaining to work orders, and material requisitions.
Major duties
The duties described are for the full-performance level. At developmental grade levels, assignments will be of more limited scope, performed with less independence and limited complexity. The duties may include, but are not limited to: Assists the Facility Maintenance department administrative staff with various tasks including conducting market research, closing out contracts, completing paperwork, and archiving files. Receives calls, prepares formatted letters to suppliers, and researches complaints from vendors. Provides support for the Maintenance Management System database by entering data and maintaining the accuracy of the database. Monitors and reviews past and present program resource use and forecasted requirements to identify trends, discrepancies and problems requiring further study and review by management. Controls, maintains, operates and manages the spare parts and tool inventory, including the day to day operations; adds parts and tools into the inventory system and issues parts to the maintenance employees. Assembles, compiles, and summarizes data validation and verification efforts into tables, charts, documents, and maps for use in oral presentations, written reports, and guidance to the field.
What you need to qualify
Applicants must meet all qualifications and eligibility requirements by the closing date of the announcement, including specialized experience and/or education, as defined below. FOR THE GS-05 LEVEL: Applicants must have one year of specialized experience (equivalent to the GS-04 level) that may have been obtained in the private or public (local, county, state, Federal) sectors which demonstrates: Working knowledge of Maintenance Management System and other types of software, databases, and office tools such as Microsoft Word and Excel. Use of databases, computers, and field data collection devices in order to recommend procedures and methods to improve data quality and/or generate reports. Communicating with internal and external stakeholders. OR Successful completion of a full 4-year course of study leading to a bachelor's degree. Equivalent combinations of education and experience are qualifying for this grade level. TRANSCRIPTS are required if: You are qualifying for the position based on education. You are qualifying for this position based on a combination of experience and education. This education must have been successfully completed and obtained from an accredited school, college, or university. COMBINATION OF EDUCATION & EXPERIENCE AT THE GS-05 GRADE LEVEL: Applicants may have combinations of successfully completed education and specialized experience to meet total qualification requirements. The total percentages must equal at least 100 percent to qualify for that grade level. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional, philanthropic, religious, spiritual, community, student, social). Volunteer work helps build critical competencies and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
