Program Support Assistant - Healthcare for Homeless Veterans

This position serves as the Program Support Assistant (PSA) for the Healthcare for Homeless Veterans (HCHV) Program and is located in the Department of Veterans Affairs (VA), The primary purpose of the PSA is to assist with data collection, analysis of trends, and implementation of best practices and provide staff support to the effective and efficient operation of HUDVASH Program, the Healthcare for Homeless Veterans (HCHV) Program, and the Social Work Service (SWS).
Major duties
Data Collection & Tracking Support Work involves the collection, compilation, and/or tracking of data and statistical information in support of SWS and the HUDVASH Program for the Homeless Program operations. Assists in the planning, review, and reporting of data/statistical results of program/project studies; establishes protocols for incoming data, organizes computerized data sets, and retrieves computerized data; performs a basic analysis for the data and generates a variety of reports; coordinates incoming data from a variety of sources, reviews documents, reports, for omissions and inconsistencies, and ensures data entry is complete and accurate. Enters pertinent information into an automated tracking system; and maintains program-specific data in automated systems to track suspense's on items such as project milestones, progress reports, accomplishments, and compliance strategies, etc. Serves as a timekeeper, initiating, and maintaining all required records. Provides SWS Front desk coverage, PIV sponsorship, and serves as a Fund Control Point Clerk. Receives all telephone calls and correspondence which are then screened based on knowledge of the program or service line operations and refers to appropriate personnel for action. Schedules appointments and conferences for the HUDVASH Coordinator and other HCHV staff as needed. Maintains appointment calendar for the Homeless Program Supervisor and HUDVASH Program Coordinator and initiates timely reminders to assure attendance. Composes minutes of staff meetings as required, committee meetings and transcribes in final format. Types a variety of correspondence in final form, ensuring correct punctuation, capitalization, spelling, grammar, and conformance to style. Maintains the inventory of office supplies. Evaluates and interprets administrative material received in the service, advising the program Coordinator, Program Manager, Administrative Officer, Chief and appropriate staff of anything that requires a suspense date or implementation. Research & Program Resources Services Performs work related to the acquisition and/or development of program information, resource materials, personnel to support the policy development and/or technical activities. Completes special research projects in support of the policy development and /or program activities of the Social Work Service; and assembles and summarizes data, background information, and other materials from publications and other sources. Public Contact Consistent communication and interaction with Veterans, other employees, and members of the community. Utilizes effective skills to assess the immediate/urgent needs of Veterans who are psychiatrically or medically ill, and present to the SWS Walk-in Clinic. Observant and perceptive to decide when a Veteran requires intervention from clinical and professional staff. Provides patient interface appropriate to the cognitive, emotional, and chronological maturation needs of the Veterans served and must demonstrate the knowledge and skills necessary to provide appropriate services to the Veterans served in the Homeless Program. Receives schedules, refers to and contacts members of the staff, agency, and people outside the agency ranging from other government agencies to the general public. Responses involve research about the office and its program from files and records. Provides information about SWS, HUDVASH Program, its functions, and standard operating procedures, as well as similar information. Screen calls and personally answer calls when the requested information concerns routine and procedural requirements. Work Schedule: Monday through Friday from 8:00am to 4:30pm. What you need to qualify
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 07/15/2026. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-06. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. Preferred Experience: Proficiency with Microsoft applications (Outlook, Teams, Word, Excel, One Drive, PowerPoint, Publisher, SharePoint). Knowledge/skills/abilities to assist with database management and generating data reports. Direct customer service experience in a face to face setting. You may qualify based on your experience and/or education as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-06 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: experience with clerical and administrative procedures, various office skills; and carrying out day-today administrative support activities; Working in an administrative position which required preparing correspondence, reports and graphs utilizing a variety of computer program. Skill in the use of a variety of computer software such as Microsoft Word, Excel, Power Point and other software applications; Interacting with executive leadership in the VA and private sector, contractors, staff members as well as Veterans, their family members and/or legal representatives; Provide/submit requested information to ensure all due dates are met in a timely and satisfactory manner; Managing a fast-paced office to include, establishing priorities, set up, reschedule appointments; Use own initiative to follow-up on action items and time-sensitive issues with appropriate staff members. Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Physical Requirements: The work is primarily sedentary and is performed by sitting, standing, bending, and stooping. The employee is required to obtain records from files, and carry files, manuals, and other light objects.
