What you'd do
The VA Northeast Ohio Healthcare System is recruiting for a Secretary. The incumbent serves as the Clinical Service Secretary for Nursing Service, providing administrative and technical support as the primary assistant to the Chief Nurse, under the supervision of the Health System Specialist/Chief Nurse.
Major duties
The Secretary duties include, but are not limited to: Process incoming and outgoing materials. Compose and edit letters and reports. Review correspondence for accuracy and completeness. Prepare presentation outlines and agendas, develop standards and forms, and respond to inquiries. Gather, analyze, and present data for various reports. Present data and analysis to department managers during departmental meetings. Analyze data, create and edit charts and graphs, identify trends or deficiencies, and prepare presentation materials including PowerPoint presentations, graphs, spreadsheets, and meeting agendas. Take and transcribe meeting minutes. Receive and respond to requests for information, determine the availability of the requested information, and conduct follow-up as needed. Handle routine and non-routine matters based on extensive knowledge of Nursing Service operations, facility programs, directives, and policies. Independently act after reviewing paperwork and documentation received in the office, initiating follow-up actions and referrals as appropriate. Assist the Chief Nurse in handling all correspondence and personnel management documentation. Serve as the service timekeeper for three to ten Time and Leave (T&Ls), posting time and attendance in the VATAS/AcuStaf timekeeping system for an average of 130 to 300 employees daily. What you need to qualify
In order to qualify for this position, you must meet the following requirements within 30 calendar days of the closing date listed on the announcement: Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-6 position you must have served 52 weeks at the GS-5. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. Applicants must be eligible under the VA Interchange Agreement, having served continuously for at least one year in the other merit system under this interchange agreement. All Title 38 Veterans Canteen Service (VCS) employees must have served in their Excepted Service position for at least 90 days in order to be eligible for a position within the Competitive Service. Applicants who were previously selected under a Competitive Delegating Examining Office (DEO) announcement must have served in their position for at least 90 days prior to being eligible for other positions within the Competitive Service. You may qualify based on your experience as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-5 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: maintaining calendars, coordinating meetings, and scheduling appointments; adapting policies and procedures to emergency situations and establishing new processes to meet emerging needs; updating information on clinical procedures and standard operating procedures; typing schedules; creating documents and spreadsheets; managing suspense actions; drafting and composing correspondence; documenting employee education, human resources, payroll, and equipment information; providing reception to visitors; taking minutes; referring patients and others to the appropriate personnel; and utilizing computer programs including Microsoft Word, Excel, PowerPoint, VISIO, Access, Outlook, E-calendar, LYNC, as well as Doodle and VISTA. Physical Requirements: Some work is accomplished at a desk in office surroundings but must have the ability to climb stairs and carry small packages up to approximately 20 lbs. Walking, standing, bending, and carrying light items like papers or books are frequent. Frequent trips are made throughout the Medical Center to the various wards/clinics and administrative offices to interact with supervisors, nurse managers, etc. NOTE: Participation in the seasonal influenza program is a condition of employment and a requirement for all Department of Veterans Affairs Health Care Personnel (HCP). It is a requirement that all HCP to receive annual seasonal influenza vaccination or obtain an exemption for medical or religious reasons. Wearing a face mask is required when an exemption to the influenza vaccination has been granted. HCP in violation of this directive may face disciplinary action up to and including removal from federal service. HCP are individuals who, during the influenza season, work in VHA locations or who come into contact with VA patients or other HCP as part of their duties. VHA locations include, but are not limited to, VA hospitals and associated clinics, community living centers (CLCs), community-based outpatient clinics (CBOCs), domiciliary units, Vet centers and VA-leased medical facilities. HCP include all VA licensed and unlicensed, clinical and administrative, remote and onsite, paid and without compensation, full- and part-time employees, intermittent employees, fee basis employees, VA contractors, researchers, volunteers and health professions trainees (HPTs) who are expected to perform any or all of their work at these facilities. HPTs may be paid or unpaid and include residents, interns, fellows and students. HCP also includes VHA personnel providing home-based care to Veterans and drivers and other personnel whose duties put them in contact with patients outside VA medical facilities.
