Major duties
This position serves as the Division Administrator in the Financial Management Division (FMD), Office of the Assistant Register and Director of Operations (ARDO), US Copyright Office (USCO), Library of Congress (LC). The position reports to the Chief, FMD. As the Division Administrator you will: Develop and uses procedures that track and coordinate the work of the division office, the Licensing Section and the Accounting Section. Coordinates the division's activities with those of the service unit, interacting with outside staff to accomplish the division's mission. Track employee performance plans, performance evaluations, awards, and other time sensitive documents to ensure they are completed accurately and on time and may be asked to produce and maintain a variety of documents, including production statistics reports, telephone usage reports, staff lists, transit subsidy documents, and others. Greet visitors, answers their questions, resolves their issues, and directs them in a helpful, courteous manner and may interact with prominent individuals such as top library executives or other government officials under the guidance of the division's management. Exercise independent discretion to schedule meetings and accept appointments for the division's management. Books meetings rooms and conference areas to accommodate division meetings, notifying participants of dates, times, and locations of meetings scheduled, and may be asked to prepare background materials or to organize information for division staff or others to use at meetings or in other venues. Draft responses to incoming correspondence, particularly requests for information about the division's programs, incorporating staff guidance as needed. Independently assesses and routes communications to appropriate stakeholders based on a thorough understanding of organizational priorities, goals, and objectives. Establish and maintain the office's paper and digital record-keeping systems and must be capable of organizing and keeping the division's administrative records so that they are complete, accurate, and easily accessible to all permitted users. Safeguards extremely important and confidential files, including employee evaluations, disciplinary matters, and Personnel Action Requests (PARs) and be capable of keeping information in strict confidence. Serve as a time and attendance timekeeper for the division, processing and transmitting time and attendance records accurately and in a timely manner. The incumbent of this position will work a Flexitime work schedule. This is a non-supervisory, bargaining unit position. Relocation expenses will not be authorized for the person(s) selected under this vacancy announcement.
