What you'd do

Medical Administration Specialist provides administrative authority, guidance, and decision making to Medical Officer and Nursing Officer of the Day, and other similarly named Nurse and Medical positions in charge after hours. Position is located in the Health Administration Service (HAS). The position has both the authority and responsibility to represent both the Medical Center Director and the HAS Chief on all administrative matters occurring outside of normal tour of duty as assigned.

Major duties

Include but not limited to: Authority and responsibility to represent both the Medical Center Director and the Chief, HAS on all administrative matters occurring when assigned outside normal tour of duty hours. Provides full medical administrative support during other than normal tours of duty to clinical and administrative medical center staff. Authorized as certifying officer for documents pertaining to the administration of laws concerning VA. Coordinates the resolution of medical legal problems concerning the medical center. Ensures that appropriate legal, regulatory, and policy requirements are met. Processes administrative issues surrounding beneficiary death, seriously ill cases, elopements, suicides, assaults, deaths on arrival (DOAs), homicides, code blue, cost recovery matters, and facility or community disasters, etc. Performs for administrative matters for clinical matters working as a team to carry out top management responsibilities. Directly intervenes with problems regarding patient activity, directing and advising clinical staff of appropriate administrative action. Participates in Health Care System (HCS) incident command planning committees and emergency management training drills. Receives and responds to non-routine patient condition inquiries Promotion Potential: The selectee may be promoted to the full performance level without further competition when all regulatory, qualification, and performance requirements are met. Selection at a lower grade level does not guarantee promotion to the full performance level. What you need to qualify

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 08/03/2026. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-05. For a GS-09 position you must have served 52 weeks at the GS-07. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. You will not be contacted for additional information. Note: Time-In-Grade requirements also apply to former VA employees applying for reinstatement as well as current employees. Preferred Experience: Prior Leadership or Supervisory experience. Experience in decision-making. Strong interpersonal Skills. Must be flexible. In addition to meeting the Time-In-Grade Requirement you must meet the Minimum Qualification Requirement below. Minimum Qualification Requirement: GS-07 Level Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Communicate factual and procedural information clearly, orally and in writing. Gather and analyze basic facts and draw conclusions. Plans and carries out assignments in conformance with accepted policies and practices. Adheres to instructions, policies and guidelines in exercising judgement to resolve commonly encountered work problems and deviations. Guides all personnel assigned to other than normal tours of duty, such as medical clerks, telephone operators, admitting and clinic clerks. OR, Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have one full year of graduate level education or, superior academic achievement. OR, Combination: Applicants may also combine education and experience to qualify at this level. You must have a combination of GS-05 level specialized experience directly related to the work of the position and education beyond a bachelor's degree may be used to qualify. GS-09 Level Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-07 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Interprets rules and regulations relating to hospital admission; outpatient care, nursing home, dental treatment, patient transfer and beneficiary travel. Guides all personnel assigned to other than normal tours of duty, such as medical clerks, telephone operators, admitting and clinic clerks. Assists in preparing administrative reports and correspondences for leadership. Prepares daily reports such as gains and losses report, activity logs and other related statistical reports. Interviews and counsels Veterans concerning law and regulatory guidelines on enrollment and eligibility for healthcare benefits. Investigates unusual incidents involving welfare, injury, abuse of patients; loss of personal property, etc. Coordinates non-routine contacts received after regular operating hours. OR, Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have a master's degree or equivalent graduate degree; or, two full years of progressively higher level graduate education leading to a master's degree or equivalent graduate degree; or LL.B. or J.D., if related. OR, Combination: Applicants may also combine education and experience to qualify at this level. You must have a combination of GS-07 level specialized experience directly related to the work of the position and graduate-level education beyond 18 semester hours counting towards a master's degree may be used to qualify.
