Major duties
This position serves as an Administrative Assistant providing administrative support to the Office of the Executive Director for Operations and the Office of Small Business and Civil Rights, or equivalent organization. At the GG-09 level, the Administrative Assistant: Supports leadership by maintaining calendars, scheduling meetings, coordinating logistics, and aligning activities with office priorities. Reviews and formats correspondence, reports, and briefing materials prepared for leadership. Assists in tracking controlled correspondence and action items, ensuring materials flow properly through routing and concurrence pathways. Responds to incoming calls, inquiries, and visitors to the front office, directing matters appropriately and identifying items requiring leadership awareness. Supports cross-office coordination by maintaining reference files, records, and shared resources needed for senior-level meetings. Prepares domestic travel logistics, coordinating with program offices and administrative contacts. Applies NRC security protocols when handling sensitive or protected information with supervisory guidance. Identifies basic process improvements to enhance workflow efficiency. At the GG-10 level, the Administrative Assistant: Provides full administrative support to leadership-independently managing dynamic schedules, coordinating high-visibility meetings, ensuring alignment with agency priorities, and adjusting rapidly to shifting demands. Prepares, edits, and finalizes correspondence, reports, presentations, and controlled action items, ensuring accuracy and compliance with NRC Management Directive 3.57 and the NRC Editorial Style Guide. Conducts quality reviews of controlled correspondence and action items prepared for leadership signature, ensuring clarity, accuracy, and proper coordination across NRC offices. Coordinates administrative activities, convening Administrative Assistants from program offices to achieve consistent standards, processes, and communication flow. Provides training, onboarding, and guidance to administrative staff supporting related activities, promoting uniform front-office administrative practices. Serves as liaison between leadership and senior-level stakeholders-including Commissioners' offices, headquarters offices, regional leadership, and external partners-ensuring information flow and awareness of key commitments. Uses Office365, Teams, SharePoint, and workflow systems to manage routing, approvals, document preparation, coordination, and leadership communication. Coordinates complex domestic and international travel, including itinerary development, logistical coordination with hosting organizations, and preparation of complete travel packages. Handles controlled information-such as Safeguards, SUNSI, and other sensitive categories-in full compliance with NRC security policies and internal protocols. Recommends and helps implement administrative process improvements that enhance efficiency, responsiveness, and coordination with program offices. At the GG-11 level, the Administrative Assistant: Provides advanced, executive-level administrative support to the senior leadership team, ensuring seamless coordination of high-priority commitments, agencywide initiatives, and external engagements. Independently manages complex schedules and strategic engagements, anticipating needs and mitigating conflicts. Develops, organizes, and finalizes high-level briefing packages, decision papers, pre-meeting materials, and sensitive correspondence used by leadership in interactions with the Commission, Congressional staff, Federal agencies, international delegations, and industry executives. Reviews sensitive and pre-decisional materials for policy alignment and accuracy, coordinating with senior staff for final approval. Oversees program wide administrative processes, ensuring consistency in workflow, information management, and coordination for governance bodies such as the Executive Council, Program Review Committee, and agency strategic initiatives. Serves as the primary administrative focal point between leadership and executive-level internal/external stakeholders, ensuring leadership has timely situational awareness and that inquiries, issues, and commitments are addressed promptly. Leads all aspects of domestic and international travel planning for senior leaders, including securing clearances, coordinating with foreign governments or international organizations, preparing briefing books, and managing all associated logistics. Applies expert judgment when handling classified, Safeguards, SUNSI, and other controlled information, ensuring strict adherence to NRC security and information-handling requirements. Identifies operational gaps across administrative workflows and proposes solutions that improve effectiveness, communication, and leadership readiness. Performs other duties as assigned.
What you need to qualify
In order to qualify for this position, you must have at least one year of specialized experience at the next lower grade level in the Federal service or equivalent experience in the private or public sector. SPECIALIZED EXPERIENCE is defined as: GG-9 Experience providing foundational administrative support, including managing calendars and meetings, formatting correspondence, routing controlled actions, maintaining office records, supporting front-office inquiries, preparing travel, applying security protocols with guidance, and suggesting basic workflow improvements. GG-10 Experience independently managing complex schedules and high-visibility meetings; preparing, editing, and finalizing correspondence and controlled documents; reviewing materials for coordination and accuracy; standardizing administrative practices across offices; training staff; liaising with senior stakeholders; coordinating domestic and international travel; handling sensitive information under policy; and improving administrative processes. GG-11 Experience providing executive-level support, independently managing strategic schedules and engagements; producing high-level briefings and decision materials; reviewing sensitive/pre-decisional content for alignment; overseeing agency-wide administrative workflows; serving as primary point of contact for executive stakeholders; leading domestic/international travel planning with clearances and briefing materials; handling classified/controlled information with expert judgment; and identifying systemic improvements across administrative operations To qualify for this position, you must have at least one year of specialized experience at the next lower grade level (GG-08 for consideration at the GG-09 level, GG-09 for consideration at the GG-10 level, and GG-10 for consideration at the GG-11 level), or equivalent experience in the private or public sector. The ideal candidate will be able to demonstrate the following: 1. Demonstrated skill with computer-based applications, including Office365, ADAMS, E-Concurrence, Microsoft Edge, Google Chrome, and other database applications (i.e. maintaining automated tracking systems.) 2. Demonstrated ability to provide administrative support in a variety of areas (time and attendance reporting, travel, etc.). 3. Writes in a clear, concise, and organized manner. Knowledge of proper grammar, spelling, and punctuation, and correspondence procedures sufficient to prepare and review outgoing material for correctness, proper format, and completeness. 4. Demonstrated ability to work efficiently in handling multiple assignments with competing priorities, often under considerable pressure to meet deadlines. 5. Demonstrated ability to deal tactfully, efficiently and professionally with all levels of personnel, and to work collaboratively within a team.
