What you'd do

This developmental position is located within the Medical Administration Service (MAS) at the Oklahoma City Medical Center in Oklahoma City, OK. The role serves as a Supervisory Medical Administrative Specialist and reports to the Section Chief of Ambulatory Care & Processing (AC&P) or higher-level MAS leadership. The primary purpose of this position is to supervise both supervisory and frontline staff within the Patient Enrollment and Eligibility unit and the Telephone Operator/MAS section.

Major duties

Major duties and responsibilities include: Implements nationally developed directives and policies regarding scheduling. Monitor the use of the ICB scanner to capture Insurance identification and validation function, which includes establishing standard operating procedures for the flow of patient registration data from the various outlying sites to the organization. Incorporate LEAN principles in all sections of Ambulatory Care and Processing. Run the Insurance Card verification / exceptions report from Vista on a weekly basis and report data to Chief, MAS and MAS Supervisors. Run enrollment and eligibility reports for the Chief, MAS, and report trends and analysis to the Chief, MAS. Conduct complex analyses of the patient enrollment and eligibility operations and to ensure efficiencies of economy while focusing on accuracy and consistency. Provide Management with pertinent financial reports, inherently relying on statistical analysis and accepted quantitative methodologies to measure unit performance and identify areas in need of improvement. Write position descriptions, functional statements, and develop performance standards. Responsible for certifying employees' leave, assigns and plans work, provides technical guidance to unit employees as well as other organizational elements within the organization. Interviews candidates for positions in the unit. Provides technical guidance to unit employees as well as other organizational elements within the organization. Interprets VA Regulations, policy and procedure memoranda, CO directives, as well as state, local and federal policies. Primary resource for projects related to Admissions and Eligibility within the organization. Plan, implement, negotiate, or evaluate proposals related to the position, product line development, and communicate various analyses and information to various sources. Work in a team environment. Assists with cost analysis, budget and supply regulation for the service. Serves as the station liaison for all patient scheduling, enrollment and eligibility, preregistration, insurance identification and capture, income verification, demographics, enrollment and benefits eligibility, education and training needs, health benefits counseling, patient admissions, and decedent affairs. Conducts complex analyses of the patient enrollment and eligibility program and identify deficient areas in the enrollment, eligibility, admissions and insurance identification processes for the purpose of establishing efficient and effective processes. Broad involvement with both clinical and administrative services at the Oklahoma City VA Healthcare System. Interactions with professionals outside the facility are also required and Service Chiefs from many disciplines. Assigns work to subordinates based on priorities, consideration of the difficulty of work and capabilities of employees by developing special projects and reports. To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 08/10/2026. You may qualify based on your experience and/or education as described below: Specialized Experience-GS-09: You must have one year of specialized experience equivalent to at least the next lower grade GS-07 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include but are not limited to: experience in Supervisory Medical Administration Specialist where you applied your knowledge and familiarity with word processing, spreadsheet, and database packages, knowledge of all hospital administrative principles, theories and practices is required, knowledge, flexibility, and experience to interface with individuals at all levels of the hospital, including clinical and administrative services, knowledge of management techniques to identify, consider, and resolve issues or problems, knowledge of management evaluative techniques (qualitative and quantitative) in order to conduct complex analyses of the patient enrollment and information operations and to ensure efficiencies of economy while focusing on accuracy and consistency, OR, Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have: a master's or equivalent graduate degree or two full years of progressively higher-level graduate education leading to such a degree., OR, Combination: Applicants may also combine education and experience to qualify at this level. combination of successfully completed a master's or equivalent graduate degree. To qualify based on education for this grade level you must have successfully completed two full years of progressively higher-level graduate education ) and specialized experience as described above, which meet the total requirements for this grade level. Specialized Experience-GS-11: You must have one year of specialized experience equivalent to at least the next lower grade GS-9 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: experience in the position with knowledge and familiarity with word processing, spreadsheet, and database packages, knowledge of all hospital administrative principles, theories and practices is required, knowledge, flexibility, and experience to interface with individuals at all levels of the hospital, including clinical and administrative services, knowledge of management techniques to identify, consider, and resolve issues or problems, knowledge of management evaluative techniques (qualitative and quantitative) in order to conduct complex analyses of the patient enrollment and information operations and to ensure efficiencies of economy while focusing on accuracy and consistency, knowledge of operating guidelines governing administrative programs to help initiate program changes, skilled in performed independently and requires a high level of self-direction, skilled and knowledge of assigning work to subordinates based on priorities by developing special projects and reports which encompass areas related to identifying potential and/or immediate cost savings for the organization, OR, Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have successfully completed a Ph.D. or equivalent doctoral degree or 3 full years of progressively higher-level graduate education leading to such a degree. Such education must demonstrate the knowledge, skills, and abilities necessary to do the work of this Supervisory Medical Administration Specialist . You must have an combination of specialized experience and education beyond successfully completed graduate education (above a master's degree) and specialized experience as described above, which meet the total requirements for this grade level. One year of full-time graduate education is considered to be the number of credit hours that the school attended has determined to represent 1 year of full-time study.
