Major duties
***THIS IS NOT A VIRTUAL POSITION, YOU MUST LIVE WITHIN OR BE WILLING TO RELOCATE WITHIN A COMMUTABLE DISTANCE OF THE DUTY LOCATION*** Reports to an Executive Leadership Team (ELT) member, the Chief of Staff, who manages multiple subordinate organizations with diverse and unrelated functions and is a member of the Medical Center Executive Leadership Team administrative support staff This position provides executive level administrative and support services to the supervisor and provides direction to medical center clerical administrative and medical staff. Duties include but are not limited to the following: Receives, processes, tracks, and responds to all correspondence and documents transmitted through the Executive Office; Ensures proper format, grammar, and staff coordination; composes official correspondence in final form based on knowledge of supervisor's views and past precedent; enforces rigid timelines. Serves as liaison between management staff and supervisor, providing accurate and timely information and guidance on procedures, policies, and requirements. Conducts regular meetings with Service/Service Lines/departments; Plans and directs office procedures; conducts training sessions for clerical, administrative, and medical personnel; Disseminates directives and publications in a timely manner. Maintains interim and completed performance appraisals for the ELT member's direct reports; Collaborates with chiefs of medical service lines ensuring physician performance standards and performance pay requirements are written in accordance with VA mission, strategic goals, and accrediting body requirements; Maintains timecards, initiates personnel actions and overtime actions, and ensures appropriate actions are completed timely for the supervisor's subordinate staff; Serves as timekeeper for assigned T&Ls; Tracks staffing levels and recruitment activities; drafts new and updates existing position descriptions. Receives telephone calls and greets visitors; Screens callers and determines appropriate referral; uses independent judgment in referring, initiating, or disposing of inquiries; Makes arrangements for travel, meetings, and community activities; Maintains master contact list of dignitaries, community leaders, and affiliated organizations for official functions. What you need to qualify
TO QUALIFY FOR THIS POSITION AT THE GS-9 GRADE LEVEL, YOU MUST MEET ONE OF THE FOLLOWING CRITERIA: SPECIALIZED EXPERIENCE: You must have one (1) full year of specialized experience equivalent to the GS-7 grade level in federal service that equipped you with the particular knowledge, skills, and abilities to perform successfully the duties of an Administrative Officer, and that is typically in or related to the work of this position. Specialized experience includes planning, developing, and evaluating administrative operations; conduct and perform many of the general clerical duties of the position such as taking visitors and calls to the office; scheduling appointments; typing, preparing, and reviewing outgoing correspondence; taking meeting minutes; maintaining files; and utilizing office automation software. NOTE: Experience must be fully documented on your resume and must include job title, duties, month and year start/end dates AND hours worked per week. A full year of work is considered to be 35-40 hours of work per week. ~OR~ SUBSTITUTION OF EDUCATION FOR EXPERIENCE: You must have successfully completed a master's or equivalent graduate degree, or 2 full years of progressively higher level graduate education leading to such a degree, or an LL.B. or J.D. in a field related to this position that demonstrates the knowledge, skills, and abilities necessary to do the work of this position. Education cannot be credited without documentation. ~OR~ COMBINATION OF EXPERIENCE AND EDUCATION: You must have equivalent combinations of successfully completed graduate level education (in excess of the first year or 18 semester hours) and specialized experience to meet total experience requirements. PHYSICAL REQUIREMENTS/WORK ENVIRONMENT: The work is basically sedentary. Typically, the employee may sit comfortably to do the work. However, there may be some walking, standing, bending, and carrying light items like papers or books. No special physical demands are required to perform the work. The work environment is in a typical office setting. The work environment involves everyday risks or discomforts and requires normal safety precautions typical of such places as meeting and training rooms, libraries, or commercial vehicles. The work area is adequately lit, heated, and ventilated.
