This vacancy is for an Administrative Specialist in the Economic Development Administration within the Department of Commerce. The incumbent provides administrative support and coordination for the Office of Finance and Management Services, including office operations, reception, tracking systems, property management, human resources, budget, procurement, travel, and other administrative functions.

Major duties

As an Administrative Specialist, you will perform the following duties: Maintains records management policies and procedures and circulates such material concerning procedural changes and policy matters that affect program operations. Performs a variety of administrative duties for the team. Using various office automation hardware and software. Prepares forms. correspondence and other documents following correspondence procedures and guidelines. Works with a variety of standard procedures to retrieve and edit a variety of standard and nonstandard documents. Makes domestic and/or international arrangements for travel. Coordinates schedules of visits, transportation. and hotel reservations. As necessary, keeps in contact with the supervisor in route and submits travel vouchers upon completion of trip. Serves as timekeeper answering questions/resolving issues related to time and attendance and conducting leave audits; serves as point of contact for security badges, scheduling appointments and initiating requests for renewals; and serves as point of contact for service awards. maintaining master list of years of service as well as preparing and distributing award certificates and pins. Serves as the purchase card holder for the office responsible for preparing and maintaining the necessary control mechanisms of requisition requests in procuring a variety of supplies and office equipment. Establishes and maintains office records, procedures, reference materials. and technical subject matter files. Supports the onboarding team, as needed, and performs other duties as assigned. What you need to qualify

Qualification requirements in the vacancy announcements are based on the U.S. Office of Personnel Management (OPM) Qualification Standards Handbook, which contains federal qualification standards. Specialized experience is experience that has equipped the applicant with the particular competencies/knowledge, skills and abilities to successfully perform the duties of the position. This experience need not have been in the federal government. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations e.g., professional; philanthropic, religious; spiritual; community, student, social). Volunteer work helps build critical competencies; knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. TO QUALIFY AT THE GS-9 LEVEL: SPECIALIZED EXPERIENCE: You must possess one full year (52 weeks) of specialized experience equivalent to the GS-7 level in the Federal service. Specialized experience is defined as preparing and reviewing administrative documents, such as HR policies or forms, SOPs, office records, or personnel records, etc; AND serving as a primary point of contact for internal and external customers, addressing inquiries and resolving issues in a timely, professional manner; AND applying fundamental knowledge in administrative areas such as data entry, scheduling, timekeeping, human resources processes, records-keeping, travel, or budget and financial tracking, etc. -OR- SUBSTITUTION OF EDUCATION: Master's or equivalent graduate degree, or 2 full years of progressively higher-level graduate education leading to such a degree, or LL.B. or J.D., if related. -OR- COMBINATION OF EDUCATION AND EXPERIENCE: A combination of education and specialized experience as described above to meet 100% of the qualification requirements for this position. Note: Only graduate education in excess of 1 full year is qualifying for combination of education and experience.
