Administrative Support Assistant
What you'd do
The incumbent Serve as Administrative Support Assistant for the Pathology and Laboratory Medicine Service (P&LMS). In this capacity, the incumbent will act as administrative support. The incumbent will regularly interact with departments outside of P&LMS including but not limited to other VA Affiliates, Community Hospitals, Joint Pathology Center, reference laboratories and College of American Pathologists. The direct supervisor is the Pathology Laboratory Manager.
Major duties
Duties include but are not limited to: Providing administrative support to ensure efficient operation of the office. Composes and types minutes for meeting and miscellaneous correspondence on routine matters as outlined in regulations and procedures, or specifically requested by the Chief of Laboratory Service. Assures outgoing correspondence in compliance with VA and laboratory policy and utilized proper format, spelling, and grammar. Assisting in the establishment and maintenance of office files, and employee 6-part folder for section assigned using filing system Orders office supplies and equipment for the department. Types technical laboratory procedures and reports which contain specialized medical terminology Maintains suspense files as necessary on Service Reports and correspondence and takes required action to insure timely follow-up Serves as Computer Based Learning Administrator for PLMS and as such tracks total hours and reports deficiencies to supervisor Receives phone calls and uses phone in a courteous, efficient manner directing phone calls to the appropriate department of the laboratory or individual Receives visitors to the lab and directs them to appropriate staff members Serves as timekeeper while providing guidance and assistance on posting time cards to supervisor Coordinates travel arrangements for proper completion Rapidly enters text and data into manual or automated information processing equipment. What you need to qualify
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 08/12/2026. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. You may qualify based on your experience and/or education as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-5 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: GS-06 Specialized Experience: Applicants must have one year of specialized experience equivalent to at least the next lower grade GS-5 in the normal line of progression for the occupation in the organization. Specialized experience is defined as: A full range of administrative support for an office; Coordinates travel arrangements; reviewing all incoming and outgoing correspondence; scheduling meetings; typing a variety of correspondence and maintaining databases and utilizing various software programs; and maintaining fund control points; coordinate conferences and meetings; track and compile data for reporting purposes. NOTE: Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Preferred Experience: Experience in timekeeping, administrative support in a day to day operation and record management.
