This vacancy is for an Administrative Specialist (International Affairs), GS-0301-09 located in the Department of Homeland Security, U.S. Coast Guard, Director of International Affairs and Foreign Policy (DCO-I) in Washington, District of Columbia.
Major duties
You will serve as a Administrative Specialist (International Affairs) and be responsible for for implementing and overseeing the Coast Guard's international programs and engagements. The Director of International Affairs is also the foreign policy advisor for the Commandant, U.S. Coast Guard, and is a member of the Senior Executive Service. The incumbent of this position reports directly to the Director of International Affairs and is responsible for performing and coordinating the administrative work of the office. Being a Coast Guard civilian makes you a valuable member of the Coast Guard team. Typical work assignments include: Exercising exclusive control over the Director and Deputy Director's appointments with complete authority for commitments of time. Working directly with the Deputy Director in planning, coordinating, and executing travel for the Director, to include submission of travel documents. As DCO-I Records Coordinator, maintaining and organizing all Directorate files, records, and documents in compliance with federal records management regulations. Managing and monitoring the Task Management System to ensure tasks are properly routed, acknowledged and taken for action by the appropriate staff element. Screening all correspondence prepared for the Director's signature for clarity, completeness of reply, and grammatical and procedural correctness. Responsible for time keeping duties in automated system and assisting staff and supervisors, as needed. Assists directorate staff in the maintenance of leave and attendance records. What you need to qualify
To qualify at the GS-9 grade level, your resume must demonstrate at least one (1) full year of specialized experience equivalent to at least the GS-08 grade level in the federal sector. Specialized experience is experience that has equipped you with the ability, skill, and knowledge to successfully perform the duties of this position and is typically in or related to this line of work. Examples of specialized experience include performing the following types of tasks on a regular basis. Administrative Expertise - A foundation of administrative concepts and practices required to be able to recommend changes in administrative policies, devise and install procedures and office practices, and to foresee administrative problems and requirements. Schedule Coordination - Prioritizing appointments and accepting, declining, and adjusting meetings and conferences. Screening calls and visitors, answering most questions and completing most tasks involving established policy or routine matters without referring to the executives. Written Communication - Knowledge of grammar, spelling, punctuation and required format of correspondence sufficient to review and edit correspondence, reports, and other administrative items. Travel Coordination - Arranging travel and submitting travel paperwork for senior executive.
