Major duties
MAJOR DUTIES: Reports to the MCFTB Director. Provides administrative and clerical support to MCFTB staff, including but not limited to, printing/assembling training materials and handouts, coordinating session rooms, and reconfirming class attendance. Operates a personal computer (PC) to produce a variety of correspondence and materials. Drafts, reviews and edits section correspondence for proper format, conformance to procedure, spelling, grammar, directives, and typographical accuracy. Supports required data collection. Prepares reports and maintains data collection system and forms. Makes arrangements for meetings including space, time and child care. Prepares detailed or summary reports for meetings. Orders and tracks supplies. Submits purchase requests in accordance with established procedures. Prepares correspondence and directives from handwritten drafts or oral instructions in accordance with available guidelines and instructions by utilizing a PC. Maintains correspondence tracking system to ensure timely and accurate completion of tasking issued by higher headquarters. Establishes and maintains office files, revises and disposes of files in accordance with governing procedures. Responsible for maintenance of current information on MCFTB website. Coordinates responses to all correspondence submitted to the MCFTB Organizational Mailbox. Attends meetings, takes minutes and transcribes them. Makes travel arrangements and submits TAD requests for MCFTB section staff and volunteers. Initiate, submit and track volunteer reimbursements, Invitational Travel Orders (ITOs), and all required paperwork for MCFTB team members. Coordinates scheduling and logistical arrangements for conferences, meetings and special events. Reviews and evaluates supported commands¿ policies and organizational changes to ensure all program materials are current. Corresponds with supported commands concerning all program policy, curriculum and training information. Ensures policy updates are recorded and communicated to supported commands. Assists with volunteer coordination and supports volunteer recruitment and management efforts. Ensure OPSEC and Privacy Act compliance. Provides World Class Customer Service with an emphasis on courtesy. Assists customers and communicates positively in a friendly manner. Takes action to solve problems quickly. Alerts the higher-level supervisor, or proper point of contact for help when problems arise. Adheres to safety regulations and standards. Promptly reports any observed workplace hazards, and any injury, occupational illness, and/or property damage resulting from workplace mishaps to the immediate supervisor. Adheres to established standards of actively supporting the principles of the EEO program and prevention of sexual harassment. Performs other related duties as assigned.
What you need to qualify
MINIMUM QUALIICATIONS: Three years experience and working knowledge of a PC. Must have working knowledge of Microsoft Word, Excel, Outlook, and Powerpoint. Verifiable experience in the performance of a variety of clerical duties, such as typing, filing, and record keeping. Must have excellent oral and written communications skills. Must have ability to deal with issues associated with military lifestyles and a willingness to learn. Incumbent must be able to lift and carry objects up to 45 lbs. independently and objects over 45 lbs. with assistance. Must be able to accommodate a flexible work schedule to include weekend and nighttime family briefs/programs.
