What you'd do

This File Clerk position is in Community Care services at the Manchester VA Medical Center, located at the Manchester location. This position is a full-time at 40 hours per week.

Major duties

Must have the knowledge to perform quality assurance audits on all areas of scanned documents to assure quality of image, identification accuracy, date of service, location, and retrievability. Broad working knowledge of functions and procedures of the Medical Center is necessary to properly coordinate the informational needs of administrative and clinical staff. Must have knowledge of the Privacy Act of 1974 and the HIPAA guidelines. They must protect the confidentiality of the variety of material that will be handled. Knowledge of filing sequence of both administrative and medical records is necessary to properly index and scan information into Vista/CPRS. Must display good oral and written communication skills, using tact and diplomacy in communicating with a wide variety of employees at all levels of the organization and outside healthcare facilities. Must have the ability to train other staff on computerized filing systems. Will be required to keep abreast of regulatory requirement governing scanning and maintenance and disposition of legal medical documents scanned. Work Schedule: Monday through Friday 8am to 4:30pm. What you need to qualify

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 08/26/2026. You may qualify based on your experience, education and/or combination of as described below: General Experience: You must have one year of generalized experience equivalent to at least the next lower grade GS-3 in the normal line of progression for the occupation in the organization. Examples of generalized experience would typically include, but are not limited to: must have knowledge of patient documentation from all areas of the hospital and of Non-VA hospitals. This include but not limited to: evaluation and management, inpatient healthcare, emergency and urgent care, outpatient and ambulatory care, initial assessment, History and Physicals, Reassessments, Treatment plans, labs and imaging, progress notes, inter-service transfer notes, discharge progress notes/discharge instructions, consultations, referrals, informed consent, anesthesia, surgery, procedures, advanced directives, DNR, discharge summary, autopsy and non-VA reports. These documents must be scanned into the system and indexed appropriately/accurately for retrieval by healthcare providers. OR, Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have 2 years above high school. This education must have been obtained in an accredited business, secretarial or technical school, junior college, college or university. One year of full-time academic study is defined as 30 semester hours, 45 quarter hours, or the equivalent in a college or university, or at least 20 hours of classroom instruction per week for approximately 36 weeks in a business, secretarial, or technical school. OR, Combination: Applicants may also combine education and experience to qualify at this level. You must have an combination of generalized experience and education beyond the first 60 semester hours (i.e., beyond the second year) toward meeting the specialized experience requirement. One full academic year of study (30 semester hours) beyond the second year is equivalent to 6 months of specialized experience. You will be rated on the following Competencies for this position: Customer Service Flexibility Integrity/Honesty Interpersonal Skills Reading Comprehension Self-Management Teamwork Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: The work is mostly sedentary; however, some bending, stretching, walking, and lifting are required.
