Medical Support Assistant
What you'd do
The position is located at Fort Yuma Service Unit, Winterhaven, CA., and performs as a receptionist, records maintenance, a variety of clerical duties associated with ambulatory care; serves as primary contact for the Primary Care staff, the incumbent works with both medical staff providers, nursing staff, and other health care staff (clinical and non-clinical). A REAL ID will be required beginning May 7, 2025, in accordance with 6 C.F.R. 37.5 (2021).
Major duties
Total Compensation Package - Check out IHS's outstanding total compensation package for this job: Medical Support Assistant Total Compensation | Pay (ihs.gov) Receives visitors and telephone calls to the clinic and directs calls to the appropriate party. Transfers orders for patient activities, diets, treatments and tests to a wide variety of forms (some electronic) and routes them to the appropriate department for action. Functions as the timekeeper for the clinic. Processes computer generated timecards for unit employees, which includes a variety of employment situations (e.g., full-time, part-time, temporary). Initiates a new health record by interviewing patients. Enters information into the RPMS Patient Registration System and prints appropriate forms. Informs Medical Records to reactivate a retired/stored record. Arranges appointments for patients with specialty clinics, contract services and consultants. Coordinates appointments in a timely manner to avoid conflicts in patient treatment. Maintains various registers such as Diabetes, Immunization, and other health conditions as needed by the medical home team. Notifies patients via telephone and/or in writing of missed clinic appointments and other needs as guided by the medical home team. Assist with preparing reports and secures completion of report on time. Forwards completed reports to supervisor or medical home team approval. Assist with maintaining equipment and supply orders and works with designated staff, Property and Supply, Maintenance Department, or Administration at Fort Yuma Service Unit. Types and reproduces special notices, work sheets, and related educational material used by the Primary Care clinic. Maintains and keeps current various IHS and Primary Care manuals.
What you need to qualify
To qualify for this position, your resume must state sufficient experience and/or education, to perform the duties of the specific position for which you are applying. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; social). You will receive credit for all qualifying experience, including volunteer and part time experience. You must clearly identify the duties and responsibilities in each position held and the total number of hours per week. MINIMUM QUALIFICATIONS: GS-05: Your resume must demonstrate at least one (1) year of specialized experience equivalent to at least the next lower grade level in the Federal service obtained in either the private or public sector performing the following type of work and/or tasks: Schedule and coordinate patient appointments using computerized records, maintain patient confidentiality, prepare for clinic visits for each business day, explain policy/procedures to patients, prepare correspondence, answer telephones, refer calls to appropriate receiver. OR Four (4) years of education beyond the high school level. OR Combination of education and experience that when combined fully meet the minimum qualifications for this position. Only education in excess of the first 60 semester hours is creditable toward meeting the specialized experience requirement. The total percentage equals at least 100 percent to qualify for this GS-05 grade level. Must submit transcripts. MINIMUM QUALIFICATIONS GS-6: Your resume must demonstrate at least one (1) year of specialized experience equivalent to at least the GS-5 grade level in the Federal service obtained in either the private or public sector performing the following type of work and/or tasks: Scheduling appointments, capturing patient demographics, insurance capture, pre-registration and clinic cancellation processes; schedule various patient appointments in multiple systems; performs a variety of receptionist, clerical, and record-keeping duties and procedures in the patient appointment services; schedules initial and follow-up appointments and missed appointments. Knowledge of medical terminology. Receives and greets visitors and telephone callers at the call center; determines the nature of the call or visit and provides detailed information to individuals; obtain necessary information to determine primary need or area of interest; refers patients with perceived emergencies to proper clinic. Administrative duties include ordering supplies. Time In Grade Federal employees in the competitive service are also subject to the Time-In-Grade Requirements: Merit Promotion (status) candidates must have completed one year of service at the next lower grade level. Time-In-Grade provisions do not apply under the Excepted Service Examining Plan (ESEP). You must meet all qualification requirements within 30 days of the closing date of the announcement.
