What you'd do

This position provides a broad range of administrative, clerical, and program support services. This position is located within a Service Unit, IHS Hospital, Browning, MT. Incumbent reports to the Chief Executive Officer (CEO). A REAL ID will be required beginning May 7, 2025, in accordance with 6 C.F.R. 37.5 (2021).

Major duties

Supports the organizational unit by performing non-routine, complex assignments that require comprehensive knowledge of office functions, procedures, and automated systems. Works to oversee and monitor purchasing supplies and equipment, verifying deliveries, and maintaining inventory records. Performs timekeeping and attendance duties, verifies payroll data, and reconciles discrepancies. Manages the calendar, meetings, and logistical coordination for supervisors and senior staff. Prepares meeting materials and agendas, records and distributes minutes, and monitors completion of follow-up actions.

What you need to qualify

To qualify for this position, your resume must state sufficient experience and/or education, to perform the duties of the specific position for which you are applying. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; social). You will receive credit for all qualifying experience, including volunteer and part time experience. You must clearly identify the duties and responsibilities in each position held and the total number of hours per week. BASIC REQUIREMENT(S): GS-05: One (1) year of specialized experience equivalent to at least the GS-04 grade level OR 4 years above high school. Your resume must demonstrate experience in the Federal service obtained in either the private or public sector performing the following type of work and/or tasks: Creating correspondence in proper formats utilizing word processing programs; maintaining manual and electronic calendars to add, delete or change meetings; serving as a receptionist or point-of-contact for an office; and maintaining electronic and hard copy files. GS-06: Your resume must demonstrate at least one (1) year of specialized experience equivalent to the GS-05 grade level in the Federal service obtained in either the private or public sector performing the following type of work and/or tasks: Performing technical administrative tasks in the areas of correspondence management, office automation, data collection, and tracking information; managing calendars and meeting schedules for higher level staff; making travel arrangements and/or preparing travel orders in automated system; and serving as point of contact for an organizational unit. NOTE: Equivalent combinations of education and experience are qualifying for all grade levels and positions for which both education and experience are acceptable. Specialized Experience--Experience that equipped the applicant with the particular knowledge, skills, and abilities (KSA's) to perform successfully the duties of the position, and that is typically in or related to the position to be filled. Time In Grade Federal employees in the competitive service are also subject to the Time-In-Grade Requirements: Merit Promotion (status) candidates must have completed one year of service at the next lower grade level. Time-In-Grade provisions do not apply under the Excepted Service Examining Plan (ESEP). You must meet all qualification requirements within 30 days of the closing date of the announcement.
