Administrative Specialist (Direct Hire)
What you'd do
You will serve as an Administrative Specialist, providing executive level administrative and logistical support to the Office of the Center Director.
Major duties
Duties described below are at the highest grade advertised. Duties assigned at lower grade levels will be of more limited scope, performed with less independence and limited complexity; duties will be commensurate with the grade of selected employee. Providing executive level administrative and logistical support to the Office of the Center Director. Utilizing Adobe Acrobat and Microsoft Office 365 applications (e.g., Word, Excel, PowerPoint, OneDrive, SharePoint, and Teams) to create, edit, manage, share, and collaborate on documents, spreadsheets, presentations, and other business resources. Managing executive calendars, coordinating and scheduling meetings and briefings, securing meeting locations and securing alternate representative by another official when appropriate. Attending and providing administrative support for meetings, as appropriate. Creating executive correspondence concerning management and administrative matters, ensuring all documents comply with established policies and procedures. Providing day to day administrative responsibilities for office management and staff, such as directing phone calls, receiving and greeting visitors, sorting and distributing incoming mail, and maintaining files and records. Evaluating and improving office operations for organization and efficiency. Communicating updates and providing guidance to Directorate level administrative staff, ensuring consistency in center processes and administrative services. Creating and/or maintaining organizational charts and distribution lists for senior staff.
What you need to qualify
Specialized experience is experience that has equipped you with the particular ability, skill, and knowledge to successfully perform the duties of this position and is typically in or related to this line of work. To qualify for GS-09 level, you must have: a) One year of directly related specialized experience equivalent to the GS-07 level: Providing support to leadership, such as calendaring, and preparing reports in accordance with organization requirements; Reviewing administrative documents for completeness and accuracy; Serving as a primary point of contact for internal and external customers. OR b) Completed all requirements for a master's or equivalent graduate degree in an appropriate field OR c) Completed 2 full academic years of progressively higher-level graduate education leading to a master's degree or equivalent graduate degree in an appropriate field OR d) LL. B or J.D, if related OR e) Have an equivalent combination of experience and graduate study as discussed in a), b), c) and d) above To qualify for GS-11, you must have: a) One year of directly related specialized experience equivalent to the GS-09 level: Providing executive assistant support to senior leadership, such as calendaring, preparing reports, correspondence and document reviews, in accordance with organization requirements; Leading, managing or training others on the analytical ability, judgment, and discretion of administrative or program principles; Implementing policy and procedure documents to support a range of administrative office matters. OR b) Completed all requirements for a doctoral degree (i.e., Ph.D. or equivalent) in an appropriate field OR c) Completed 3 full academic years of progressively higher-level graduate education leading to a Ph.D. degree or equivalent doctoral degree in an appropriate field OR d) LL.M., if related OR e) Have an equivalent combination of experience and graduate study as discussed in a), b), c) and d) above Your resume must include a clear and detailed narrative description, in your own words, of how you meet the required specialized experience.
