What you'd do

Based at the West Roxbury campus of the VA Boston Healthcare System (VABHS), this position reports directly to the Administrative Officer (AO) of Medical Service and manages the daily aspects of logistics, financial and contract administration, human resources, and a range of other administrative functions supporting a highly complex, fast-paced clinical service.

Major duties

***THIS IS NOT A VIRTUAL POSITION, YOU MUST LIVE WITHIN OR BE WILLING TO RELOCATE WITHIN A COMMUTABLE DISTANCE OF THE DUTY LOCATION*** Duties include, but not limited to, the following: Provides a diverse range of health care administrative support functions in matters such as personnel, fiscal, equipment purchase and supply administration, and other logistical matters Tracks and updates labor mapping Develops and implements all administrative procedures including establishing processes for timekeeping/tracking time & attendance, ordering supplies, etc. Sets priorities and coordinates demands among multiple projects and staff Performs contracting duties Tracks and develops processes to improve access measures and other forms of productivity Establishes and maintains close communication with Medical Service's counterparts at its affiliates (e.g., General Hospital, Boston University Medical Center, etc.) Conducts analyses of all aspects of current or projected programs to assess effectiveness in meeting goals and objectives Utilizes charts, graphs, statistics, narrative data, and Power BI dashboards to prepare reports Represents Medical Service on various medical center committees Performs other related duties as assigned Work Schedule: Monday through Friday; 7:30am to 4:00pm Recruitment & Relocation Incentives: Not Authorized Critical Skills Incentive (CSI): Not Approved

What you need to qualify

Minimum Requirement: The following are minimum requirements for appointment as a Program Specialist in the Veterans Health Administration (VHA), which all applicants must meet. Specialized Experience: You must have one (1) year of specialized experience that equipped you with the particular knowledge, skills, and abilities (KSA's) to perform successfully the duties of the position, and that is typically in or related to the position to be filled. To be creditable, specialized experience must have been equivalent to at least the next lower grade level (i.e., GS-09) in the normal line of progression for the occupation in the organization. Qualifying examples of specialized experience would typically include but not limited to: thorough knowledge of administrative operating procedures to prepare, advise, assist, and perform problem-solving duties within the context of a large, highly complex, fast-paced clinical service; working knowledge of Power BI and data analysis tools; developing/implementing administrative support procedures in matters such as personnel, fiscal, equipment purchase and supply administration; and providing administrative management of patient care issues. OR, Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have Ph.D. or equivalent doctoral degree or 3 full years of progressively higher-level graduate education leading to such a degree or LL.M., if related. Such education must demonstrate the knowledge, skills, and abilities necessary to do the work. NOTE: One year of full-time graduate education is considered to be the number of credit hours that the school attended has determined to represent 1 year of full-time study. If that information cannot be obtained from the school, 18 semester hours should be considered as satisfying the 1 year of full-time study requirement. Part-time graduate education is creditable in accordance with its relationship to a year of full-time study at the school attended. OR, Combination: Applicants may also combine education and experience to qualify at this level. You must have a combination of specialized experience and education as described above. Only graduate education in excess of the amount required for the next lower grade level (i.e., 36 semester hours) may be used to qualify applicants for positions at grades GS-11.
