Major duties

DUTIES: Manages the medical administration operations and supports the mission, vision and fundamental principles of the centralized administrative support section by promoting quality, performance improvement, efficiency, and effectiveness in person and in a call center environment. Overall responsible for customer service, eligibility, preregistration, scheduling, appointment management, insurance collection, administrative and clinical software maintenance, management of patient first contact resolution processes, and patient information collection management. Responsible for short-term and long-term planning, centralized administrative support section customer service and scheduling operations and evaluation of medical administration functions and processes. Provides oversight and management of medical administration activities within the centralized administrative support section. Utilizes business acumen, business concepts and practices to foster an innovative environment that collaborates with other services to provide quality and timely health care services to Veterans in the virtual environment. Manages staffing, budgeting, procuring, and training for the Scheduling Service. Develops and implements long and short-range goals and plans, which includes identifying needs and potential issues in operation of the Scheduling Service through analyzing workload, expenditures, trends, and national VA policy implications. Serves as a centralized administrative support section medical administration liaison to facility clinics, call centers, and administrative support section operations. Responsible for full authority of fund control points and operating budgets for the Scheduling Service. Manages personnel issues within the Scheduling Service, which includes recommending action on hiring, promotions, selections, awards and disciplinary actions. Investigate employee complaints and implements or recommends appropriate action. Serves as the subject matter expert for the interpretation and implementation of policies and directives. Ensures employees are working within a safe environment and culture that is free from discrimination and harassment. Assures employees receive appropriate training and are knowledgeable and skillfully trained to perform their associated tasks. Participates in internal and external reviews within the Milwaukee VA centralized administrative clinic operations section. including following Joint Commission guidelines and standards. Conducts audits and studies, analyzes workload and recommends additional FTEE, makes changes in work distribution, and standardizes processes through development of policies and procedures at the Milwaukee VA Medical Center. Collaborates with the nursing, medical, pharmacy leadership on process improvement initiatives that will positively impact the Milwaukee VA centralized administrative clinic operations section. NOTE: Selectee may be required to serve a Supervisory Probation Period Work Schedule: Monday through Friday; 8:00am to 4:30pm Telework: This position may be authorized for telework. What you need to qualify

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 07/21/2026. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-13 position you must have served 52 weeks at the GS-12. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. You may qualify based on your experience and/or education as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-12 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Experience in medical administration operations; knowledge of veteran enrollment, eligibility, pre-registration, scheduling, appointment management, insurance collections, administrative and clinical software maintenance; management of patient first contact resolution processes, and patient information collection management; management of medical administration activities within the centralized administrative support section; experience in managing staff, budgeting, procuring, and training; managing personnel issues; developing, tracking, monitoring and auditing workload and distribution of workload.
