Program Support Clerk
What you'd do
The incumbent serves as Program Support Clerk within Engineering Service, Tuscaloosa VA Medical Center. The work of Engineering involves the· efficient operation and timely completion of equipment and facility maintenance repairs, corrective and preventive maintenance, inspections, and station level projects. Incumbent performs tasks of varied complexity and provides a full range of clerical and general administrative support to the Engineering Service.
Major duties
Duties include but are not limited to: Serves as the Work Order Clerk responsible for receiving, reviewing, processing, tracking, and closing maintenance and repair work orders for Engineering Service. Receives work requests from customers through computerized maintenance management systems (CMMS), telephone calls, emails, written requests, and walk-in customers. Reviews work requests for completeness and accuracy, assigns appropriate priority codes, and routes work orders to the appropriate maintenance shops or personnel. Maintains work order databases and tracking systems to ensure timely scheduling, completion, and documentation of maintenance activities. Monitors the status of preventive maintenance and corrective maintenance work orders and follows up with assigned shops to ensure work is completed within established timeframes. Provides administrative support by preparing reports, correspondence, spreadsheets, and other documents related to maintenance operations and work order management. Maintains electronic and paper records in accordance with VA policies, records management requirements, and Engineering Service procedures. Coordinates with supervisors, maintenance mechanics, contractors, and customers to obtain information necessary to schedule and complete work assignments. Assists with data entry, validation, and quality control to ensure the accuracy of maintenance records, equipment inventories, and service histories. Responds to customer inquiries regarding the status of work requests and provides courteous, timely customer service to internal and external stakeholders. Utilizes automated office systems and software applications such as Microsoft Office Suite, computerized maintenance management systems, and other VA information systems to support daily operations. Compiles workload statistics and generates recurring and ad hoc reports used to monitor maintenance performance, backlog, and productivity. Ensures compliance with applicable VA policies, safety requirements, and administrative procedures while supporting Engineering Service operations. Performs other administrative and clerical duties as assigned to support the efficient operation of the service. Work Schedule: Monday- Friday, 7:30am-4:00pm. What you need to qualify
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 07/27/2026. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-05 position you must have served 52 weeks at the GS-04. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. You may qualify based on your experience and/or education as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-04 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Receiving, reviewing, and processing work requests or service orders; maintaining automated tracking systems or databases; entering and verifying data for accuracy; preparing reports, correspondence, and other administrative documents; providing customer service by responding to inquiries and coordinating information between customers and staff; maintaining electronic and paper records; utilizing office automation software such as Microsoft Office applications; and performing administrative support functions in a fast-paced office environment while ensuring accuracy, organization, and timely completion of assigned work. OR, Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have 4-year course of study above high school leading to a bachelor's degree with courses related to the occupation. OR, Combination: Applicants may also combine education and experience to qualify at this level. For GS-5 level positions, only education in excess of the first 60 semester hours of a course of study leading to a bachelor's degree is creditable toward meeting the specialized experience requirements. Two full academic years of study, or 60 semester hours, beyond the second year is equivalent to 1 year of specialized experience.
