What you'd do
This position is located at Bruce W. Carter VA Medical Center, to Health Administration Service in Miami, FL. The primary purpose for this position is to independently perform clerical and administrative support in an office setting.
Major duties
Major duties include, but are not limited to: Utilize various office automation equipment and software lo prepare correspondence, documents and reports. Type final format from written material and brief instructions correspondence, narrative and tabulated reports, travel documents, personnel actions in computer terminal. Proofread completed work for accuracy in spelling, grammatical construction, punctuation, and checks to assure presence of necessary enclosures. Keep calendar and schedules appointments and meetings up-to-date. Receive telephone calls and visitors, discreetly screening nature of call in order to determine those that should be referred to the supervisor or can be diverted to other contacts. Primary point of contact for internal and external customers. Remind supervisor of appointments and provides pertinent Information or material as needed in regard to appointments or meetings. Make arrangements for conference/meetings and ensures appropriate Individuals are notified. Provide information, resolves routine administrative issues, and routes inquiries. Assist with travel orders/vouchers; and property accountability. Ensure compliance with VA formatting, policies, and administrative requirements, Maintains office files, forms, and reference materials, updates organizational documents. Make commitments for supervisor's participation in various activities from knowledge of previous commitments and supervisor's interest. What you need to qualify
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 07/29/2026. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-5 position you must have served 52 weeks at the GS-4. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. You may qualify based on your experience and/or education as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-4 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Reviews all incoming correspondence; Receives telephone calls and visitors; Maintains calendar for the Chief; Maintains administrative files; Serves as primary timekeeper; Responsible for transcription of reports & correspondence; Attending meetings and taking minutes; Tracking and posting educational material for staff; Coordinates ordering equipment and supplies. OR, Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have a Bachelor's Degree or 4 full years of post high school education leading to such a degree or LL.M., if related. NOTE: Transcripts (unofficial or official) must be submitted with your application materials. Education cannot be credited without documentation. OR, Combination: Applicants may also combine education and experience to qualify at this level. You must have an appropriate combination of specialized experience and post high school education in excess of the first 60 semester hours (i.e., beyond the second year).
