Administrative Management Specialist
What you'd do
This position is located at Departmental Offices, Terrorism and Financial Intelligence - Terrorist Financing. As an Administrative Management Specialist, you will plan, develop, implement, manage and evaluate the functions and day-to-day activities of the Office's administrative services programs, requiring access to classified information up to the top-secret level.
Major duties
The following are the duties of this position at the GS-13. If you are selected at a lower grade level, you will have the opportunity to learn to perform all these duties, and will receive training to help you grow in this position. Perform duties to include but are not limited to budget tracking, human resources, payroll, information technology and automation, communications (such as telephone coverage, office e-mail; inter-office mail; and general mail sorting and distribution), acquisitions, property, equipment, space, logistics, paperwork, records, files publications, security, travel booking for TFI Front Office staff, transportation, training, printing and graphics. Decide which actions are necessary for each functional responsibility and determine the priority related to other tasks. Serve as the office point of contact for the receipt, assignment, and tracking of correspondence received into the office. Determine the needs of the Office and take a lead in the procurement process for supplies and office equipment. As required and necessary, may prepare appropriate and adequate briefing materials for hearings and speaking engagements. Assist other senior level officials in the coordination of schedules and assembly of materials; participate in logistical support of functions.
What you need to qualify
You must meet the following requirements by the closing date of this announcement. SPECIALIZED EXPERIENCE: For the GS-13 grade level, you must have one year (52 full weeks) of specialized experience at a level of difficulty and responsibility equivalent to the GS-12 grade level in the Federal service. Specialized experience for this position includes ALL of the following: Providing advice and guidance to lower level office support personnel in completion of assigned tasks, ensuring timely outcome of actions, and application of customer service concepts to established policies, goals and work priorities; AND Triaging of paperwork and workflow and in-depth understanding of the operations of multiple parts of the organization or serving as a personal liaison for a higher ranking office official; AND Experience in making travel arrangements and scheduling domestic and international travel (knowledge of the Federal Travel Regulations is preferred but not required); AND Collecting, analyzing and integrating complex information for office executives; AND Identifying tasks, schedules and resources (e.g., staff, funding, equipment, facilities) in support of planning, development, evaluation and decision-making affecting administrative and operational aspects of mission-oriented programs. OR EDUCATION: You may substitute education for general or specialized experience as follows: Ph.D. or equivalent doctoral degree or 3 full years of progressively higher level graduate education leading to such a degree or LL.M., if related. OR COMBINATION OF EXPERIENCE AND EDUCATION: You may qualify by a combination of experience and education. Options for qualifying based on a combination will be identified in the online questions. The experience may have been gained in either the public, private sector or volunteer service. One year of experience refers to full-time work; part-time work is considered on a prorated basis.
