What you'd do
The primary purpose of this position is to provide full staff assistance on administrative issues and organizational policy to Executive-Level administrative oversight and support in variety of areas related to office management, business process coordination, data collection, analysis, and reporting.
Major duties
Provides year round management of marketing, execution, release, action planning, and follow-up of the annual All Employee Survey as the facility's AES Coordinator Coordinates bi-monthly Congressional meetings, events and visits with local district staff Implements long- and short-term plans, policies, and procedures, assuring that programs are integrated to support operational efficiencies and strategic priorities. Development of facility-wide improvement projects designed to improve both the Employee and Patient Experience Ensures quality assurance issues are documented, and appropriate follow up action occurs regarding any problem, or recommendation found Develop analytical tools to identify, format and to access and reduce policies, to provide recommendations to management in an easily recognized format Develops comprehensive reports, studies, business plans, and presentations for the Communication & Customer Experience Executive Manage and/or prepare responses to organization correspondence and/or act as a liaison, handling communication with persons and/or groups within and outside of the organization Reviews/edits suspense items daily that may require Director signature or approval by an ELT member Mitigate issues that may involve risks to Veterans health care, safety concerns, Environment of Care issues as well as addressing employee engagement, patient experience, and service recovery issues Understand customer service concepts and works with internal and external customers, as appropriate Assigning work based on priorities and employee capabilities. Interview candidates and recommend appointments or promotions. Identify training needs and arrange for development opportunities. Observe staff performance; Provides informal feedback and periodically evaluates employee performance. Resolve informal/formal complaints and grievances and promote a working environment characterized by psychological safety, civility, and respect. What you need to qualify
To qualify for this position, applicants must meet all requirements by the closing date of this announcement. GS-12 grade level: One year of specialized experience (equivalent to the GS-11 grade level in the federal service); experience that equipped the applicant with the particular knowledge, skills and abilities (KSA's) and other characteristics to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled, in the normal line of progression for the occupation in the organization. Qualifying specialized experience is defined as progressively responsible analytical or administrative, or clinical management or supervisory experience in the health care field. This work may have been performed in an operating health care facility or a higher organizational echelon with advisory or directional authority over such facilities. Work must have involved a close working relationship with facility managers and analysis and/or coordination of administrative, clinical, or other service activities, and provided knowledge of the following: Missions, organizations, programs, and requirements of health care delivery systems; Regulations and standards of various regulatory and credentialing groups; and Government-wide, agency, and facility systems and requirements in various administrative areas such as budget, personnel, and procurement. Successful completion of an agency-sponsored on-the-job training program may be substituted for qualifying experience, provided it included a formal individualized training plan. Such a training program must have been conducted in an operating health care system and included: Assignments providing a knowledge of basic health system administration philosophies, practices, and procedures, and basic government administrative policies and requirements; Practical assignments providing an opportunity to apply health system administration skills and principles (as the individual progresses, work assignments must be characteristic of the grade level to which he or she is assigned); and Oversight by an experienced health system administrator with periodic evaluation of the individual's progress and appropriate adjustment of the training program. There is no educational substitution for the GS-12 level. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
