The primary purpose of this position is to To serve as the Conference Center and Minuteman Commons Assistant, performing various administrative and operational duties in support of the 66 Force Support Squadron mission
Major duties
1. Executes all mission-critical functions for the Hanscom Conference Center and Minuteman Commons, ensuring maximum operational readiness and availability. Serves as the primary operational lead, synchronizing all administrative and logistical support for facility activities 2. Directs all scheduling and reservation operations for the conference center and commons. Maintains real-time situational awareness of all events via a dynamic master calendar, providing users with tactical guidance on facility capabilities, audio-visual systems, and technical support. 3. Manages the primary interface for all personnel, controlling facility access and vetting all inbound communications to determine mission priority. Directs coordination with project officers for mission briefings and facility integration, applying expert knowledge of military protocol and precedence to execute all Distinguished Visitor (DV) support plans. 4. Commands all mission-critical information management and office automation systems. Independently executes data operations, synthesizing raw information into actionable intelligence for reports, briefs, and leadership decision-making. Maintains a common operational picture by tracking all assigned projects and ensuring data integrity across multiple digital platforms.
What you need to qualify
Experience requirements are described in the Office of Personnel Management (OPM) Qualification Standards for General Schedule Positions, Clerical and Administrative Support Positions. SPECIALIZED EXPERIENCE: I have, or within 120 days of the closing date of this announcement will have, one year of specialized experience at the next lower grade (GS-04) level, pay band (NK-01), or equivalent (pay schedule, pay band, etc). Specialized experience is: Knowledge of extensive rules and procedures applied to administrative assignments to perform support role and work of the conference center and commons offices such as preparing and editing documents, locating, and assembling information for various reports, maintaining files/records, and preparing and distributing multiple facility schedules. Serves as the primary operational lead, synchronizing all administrative and logistical support for facility activities. KNOWLEDGE, SKILLS AND ABILITIES (KSAs): Your qualifications will be evaluated on the basis of your level of knowledge, skills, abilities and/or competencies in the following areas: 1. Knowledge of the duties, priorities, commitments, policies, and program goals of the Force Support Squadron to perform non-routine assignments, such as independently noting and following up on commitments made for conferences/meetings, understanding the correct protocol procedures. 2. Knowledge of extensive rules and procedures applied to administrative assignments to perform support role and work of the conference center and commons offices such as preparing and editing documents, locating, and assembling information for various reports, maintaining files/records, and preparing and distributing multiple facility schedules. 3. Knowledge of various audio-visual equipment and related software programs and technical procedures to support conference center and commons operations. 4. Knowledge of office functions and commitments of manager, to prepare and review correspondence, to screen telephone calls and visitors/customers, and to perform other administrative work of the organization. 5. Knowledge of correct grammar, spelling, punctuation capitalization, and format to prepare and edit written correspondence and reports. 6. Knowledge of office computer software programs, tools, and techniques to support the conference center office and produce a variety of documents, such as letters, reports, spreadsheets, databases and graphics. 7. Skill in typing, a qualified typist is required. PART-TIME OR UNPAID EXPERIENCE: Credit will be given for appropriate unpaid and or part-time work. You must clearly identify the duties and responsibilities in each position held and the total number of hours per week. VOLUNTEER WORK EXPERIENCE: Refers to paid and unpaid experience, including volunteer work done through National Service Programs (i.e., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; student and social). Volunteer work helps build critical competencies, knowledge and skills that can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
