What you'd do

This position is located in the Under Secretary of Economic Affairs (E), Office of the Executive Director (E/EX). The E Family is tasked to create jobs at home in the U.S., boost economic opportunities overseas, and create a more secure America.

Major duties

Receives and processes requests for the acquisition of goods, materials, supplies, and subscription services needed by office staff; ensures purchases comply with federal regulations. Plans and conducts comprehensive annual inventories of accountable, non-expendable furniture, equipment & supplies. Enters acquisitions and disposals into the Integrated Logistics Management System (ILMS) to maintain accurate records and valuations. Liaises with vendors to obtain price quotations, negotiate costs and resolve billing or delivery issues. Supports the survey of available office space and coordinates the physical relocation of personnel and equipment during office moves. Manages day-to-day facilities matters for the office suite, including coordinating suite access requests, badge/entry procedures and liaison with building management, the Bureau of Administration on maintenance, repair and security of the workplace. At the GS-12 level, the incumbent performs essentially the same duties as outlined above; however, the scope and complexity of assignments are of less responsibility and independence, and the incumbent receives closer supervision than the GS-13.

Applicants must meet all the required qualification requirements described below by the closing date of this announcement. NOTE: Applicants must meet time-in-grade and time after competitive appointment requirements, by the closing date of this announcement. Time-In-Grade Requirements: Federal applicants must have served 52 weeks at the next lower grade to satisfy time-in-grade restrictions, per 5CFR 300, Subpart F. GS-12: Applicants must have 1 year of specialized experience equivalent to the GS-11 level in the Federal service which provided you with knowledge of the methods and procedures for providing or performing a variety of functions and services applicable to the position to be filled; ability to plan, organize, and control work involving diverse activities; ability to gain cooperation and coordinate the work of others; and skill in oral and written communication. Examples of qualifying specialized experience include: Management analyst or technician or other work that included study, analysis, or evaluation leading to the development or improvement of managerial or administrative policies, practices, and procedures. Administrative officer or assistant, budget administration, program analysis, or other work that demonstrated knowledge of an organization and its functions, and the ways in which support services can facilitate the work of the organization. Office management experience that included responsibility for directing a variety of support services such as typing, mail processing, purchase of supplies and equipment, etc. Secretarial work that required monitoring and coordinating administrative and processing work of subordinate elements through a system of internal procedures, controls, production, progress reporting, etc., to insure the efficient operation of an organization. Military experience that included responsibility for directing a variety of support functions such as communications, property management, mail service, facilities and equipment maintenance, etc. In addition, qualifying specialized experience must demonstrate the following: Experience purchasing office supplies, equipment, and subscription services in compliance with federal acquisition regulations. Experience conducting physical inventories of non-expendable property (furniture, equipment, supplies) and maintaining accountability records in an automated inventory or logistics management system. Experience coordinating facilities operations, such as office/suite access control, space planning, or office relocations, including liaising with building management, or security. There is no substitute of education for specialized experience for the GS-12 position. GS-13: Applicants must have 1 year of specialized experience equivalent to the GS-12 level in the Federal service which provided you with knowledge of the methods and procedures for providing or performing a variety of functions and services applicable to the position to be filled; ability to plan, organize, and control work involving diverse activities; ability to gain cooperation and coordinate the work of others; and skill in oral and written communication. Examples of qualifying specialized experience include: Management analyst or technician or other work that included study, analysis, or evaluation leading to the development or improvement of managerial or administrative policies, practices, and procedures. Administrative officer or assistant, budget administration, program analysis, or other work that demonstrated knowledge of an organization and its functions, and the ways in which support services can facilitate the work of the organization. Office management experience that included responsibility for directing a variety of support services such as typing, mail processing, purchase of supplies and equipment, etc. Secretarial work that required monitoring and coordinating administrative and processing work of subordinate elements through a system of internal procedures, controls, production, progress reporting, etc., to insure the efficient operation of an organization. Military experience that included responsibility for directing a variety of support functions such as communications, property management, mail service, facilities and equipment maintenance, etc. In addition, qualifying specialized experience must demonstrate the following: Experience independently purchasing office supplies, equipment, and subscription services in compliance with federal acquisition regulations, to include obtaining price quotations and negotiating with vendors. Experience directing physical inventories of non-expendable property (furniture, equipment, supplies) across multiple offices or organizational components in an automated inventory or logistics management system. Experience serving as a principal coordinator for facilities operations, such as office/suite access control, space planning, or large-scale office relocations, including liaising with building management security officials, or General Services Administration (GSA) representatives. There is no substitute of education for specialized experience for the GS-13 position.
