External Engagement and Events Specialist
What you'd do
This position is part of the U.S. International Development Finance Corporation, Office of External Affairs (OEA). The External Engagement and Events Specialist supports the planning and execution of in-person, virtual, and hybrid engagements and assists in preparing agency leadership for those engagements.
Major duties
Plans and executes small to large-scale events - in person, virtual, and hybrid - by coordinating venue selection, room layout, registration processes, logistics, audiovisual requirements, transportation, catering, speaker support, and event timelines. Events may include signing ceremonies, international finance and foreign policy related conferences, summits, panel discussions, fireside chats, roundtables, briefings, receptions, award ceremonies, small stakeholder meetings, and events involving Members of Congress, ambassadors, senior foreign officials, and other high-level participants. Develops and maintains key planning documents for assigned engagements, including run-of-shows, event checklists, staffing plans, logistics plans, invitation lists, briefing schedules, seating plans, attendee trackers, and post-event follow-up items. Drafts event-related materials for assigned engagements, including briefers, talking points, background memoranda, agendas, moderator notes, Q&A, scenarios, invitation language, speaker introductions, and follow-up correspondence. Maintains and updates stakeholder contact lists, RSVP trackers, invitation databases, attendee strategy lists, and meeting coordination records for use in event planning and broader engagement activities. Please Note: This is a Bargaining unit position represented by AFGE, local 1534.
What you need to qualify
Status candidates must meet time-in-grade requirements (52 weeks at the next lower grade level). Applicants must meet all eligibility and qualification requirements no later than the closing date of this announcement. TIME-IN-GRADE: Current career or career-conditional employees of the Federal government, or former career or career-conditional employees, who have a break in service of less than one year, are required to meet the time-in-grade restriction of one year of Federal experience at the next lower grade, with few exceptions outlined in 5 CFR 300.603(b). You may qualify at the GS-12 level, if you fulfill the following qualification requirement: One year of specialized experience equivalent to the GS-11 grade level in the Federal service that demonstrates your ability to 1) Assist with planning and executing events by coordinating logistics, such as venue selection, registration processes, logistics, audiovisual requirements, catering, speaker support, and/or event timelines; 2) Draft event-related materials, such as briefers, talking points, background memoranda, agendas, Q&A, scenarios, invitations, speaker introductions, and/or follow-up correspondence; and 3) Maintain and update records for event planning, such as stakeholder contact lists, RSVP trackers, invitation databases, attendee strategy lists, and/or meeting coordination records. Note: Education is not substitutional at this grade level. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community, student, social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. This announcement may be used to fill similar positions, if additional vacancies occur.
