The Office of Aerospace Medicine (AAM) develops and manages medical programs in support of Aviation Safety. The incumbent serves as an Administrative Officer within the assigned organization. Primary responsibilities may include planning, developing, monitoring and executing actions and services concerning a wide-range of administrative functions for the organization.

Major duties

Performs a combination of routine, multiple and varying assignments under the general direction of a manager, project/program manager, team lead, or more experienced professional. Acts as an individual contributor and/or member of a team for projects/programs within a defined area of responsibility within the office. Applies experience and detailed knowledge of a wide range of administrative functions to plan and accomplish assignments. Typical assignments include the following: Plans, develops, monitors, and executes actions required to manage the office's administrative functions. Provides support to supervisors, managers, and other employees in day-to-day operations; which may include several of the following areas: fiscal management, travel, management information systems, and overall office management. Interprets guidelines, compiles and consolidates information, and prepares reports for assigned programs. Provides management assistance on the operations of assigned programs and the interrelationships of such programs. Has a broad understanding of how administrative, financial, and other business support assignments contribute to the activities of the organizational unit. Performs various administrative assignments in areas such as analytical studies, travel administration, overtime usage trends, and leave usage, with limited review by a higher level or more experienced employee. Prepares administrative directives or revisions needed to implement recommendations. Reviews and manages incoming and outgoing correspondence for applicability, appropriate routing, accuracy, and format. Works closely with lines of business and staff offices. Tracks financial, personnel, supply, and other such transactions through the office in both electronic and paper form. Reconciles data, validates transactions, and identifies and resolves discrepancies. Purchases administrative supplies or equipment/furniture assuring purchases are made through the appropriate channels and are according to policy. Manages calendar for meetings, conferences, teleconferences, etc., and endures detailed itineraries are completed, briefing materials are ready, and follow-up actions are tracked. Provides guidance to office on travel regulations and ensures the office's travel practices meet established criteria. Prepares travel orders, including cost estimates for training assignments. Reviews travel vouchers for administrative and procedural compliance, including proper cost accounting codes and statistical accuracy. Assists in the preparations of budget estimates, justification statements, and budget execution plans and provides advice on such matters as the distribution of allotments and availability of budgetary funds for program purposes. Responsible for records and directives management. Administratively supports programs including but not limited to Telework, Quality Management System, and Freedom of Information Act. May serve as a team member on larger more complex projects and studies. Contacts are primarily internal to the organizational unit and other employees to share information, provide data and/or written analysis, and or to explain the status of assignments. May have contact with other customers and external parties on routine matters such as gathering information, explaining regulations, and discussing various situations. Established policies/procedures provide guidance for most assignments but allow some discretion for employee to select the most appropriate approach(es). Work typically is reviewed frequently during assignments and at completion to ensure timeliness, policy compliance, and alignment with the requirements of projects and/or other work activities. Performs other duties as assigned.

What you need to qualify

TO QUALIFY AT THE FV-G (FG/GS 10-11) level, you must demonstrate in your application you possess one (1) year of Specialized Experience equivalent to FV-F (FG/GS 5-9) level. Specialized Experience is experience that has equipped you with the particular knowledge, skills, and abilities to perform successfully the duties of the position. SPECIALIZED EXPERIENCE includes: Experience working with automated systems for tracking obligation and expenditures of funds; preparing procurement documents; reconciling discrepancies; preparing travel orders/reviewing travel vouchers; experience handling correspondence, administrative correctness of correspondence and administrative reports; maintenance of files, and retention/disposal of records; Provides advice and assistance on the Privacy Act, Freedom of Information Act; identifying problem areas and providing recommendations for improvement. OR Ph.D. or equivalent doctoral degree OR 3 full years of progressively higher level graduate education leading to such a degree OR LL.M., if related, from an accredited college or university. OR Combination education and experience may be qualifying for this position.
